Intranet Requests


1.  I need a workspace created on the Intranet for a specific purpose.   How do I do this?


Please create a help desk ticket to request the creation of a workspace.   Please indicate the following in your request:


A.  Purpose of the workspace (For example, the workspace will be used to collaborate on an RFP and assign tasks to team members).

B.  Name of the workspace

C.  What section you want the workspace in?  (Organization wide, Accounting, QI, etc.).

D.  Who needs access to the workspace and what kind of permissions are needed for each individual or group (read, contribute access, etc.).

E.  Other requests for workspace

      1.  Enable Versioning?   Versioning creates a "version" or copy of the file every time it is edited.  A file can be easily restored to a pervious          version if an inadvertent change is made.  Versioning is very useful for workspaces where many people will be editing the same file.

      2. Enable automatic "check out" - This setting will require an individual to "check out" the file when editing.  This way, it is not possible for anyone else to edit the document and save back to the Intranet while it is checked out.  Again, this is useful when many individuals may be editing the same document.


2.  I need specific permissions set on a workspace... or a specific folder or file on a workspace.


Please indicate the following to set permissions:


A.  Name and link to the workspace

B.  Indicate full names of staff members or groups to set permissions

C.  What type of permissions are required (read or contribute)

D.  If permissions are required for a specific folder or file, please indicate.  For example, many workspaces have subfolders for the different facilities that only the facility staff have access to.  The permissions on the Intranet can be extremely granular and set down to the individual file level.


3.  I have a specific purpose or request for the Intranet.  Who should I discuss this with?

 

If you would like to investigate using the Intranet for a specific purpose or process, please contact the Director of Information Technology for a consultation (Dan Mason - [email protected] ).  The Intranet has many useful functionalities including:


A.  Collaborate with Central or other facilities on important documents or processes

B.  Electronic workflow - Example:  The Intranet can be used to upload a document and send a task to a supervisor for "Approval".  All the steps are electronic and "logged" automatically.

C.  Use the Intranet as a central storage or database for multiple facilities to access.


4.  I need training or help on how to use the Intranet (such as uploading documents, using "Search", etc.).


If you go to the Intranet and click on "Documents", then "Information Technology".   Look under the folder "Applications - Programs", then "SharePoint".   You will see several documents that cover how to upload a file to the Intranet, set an Intranet "alert", etc.
